This Privacy Policy explains how IETA PVT LTD, operating under the public name IETA — Intelligent Education & Technology Alliance (“IETA”, “we”, “us”), handles personal data through the private staff service at workspace.ieta.in (“Workspace”). Workspace is for authorised IETA employees, managers, owners, contractors and other approved team members; it is not a public registration or customer service.

2. Personal data Workspace handles
Depending on a person’s role and use of Workspace, we may handle:
- Identity and account data, including name, work email address, staff role, department, manager, account status and authentication records.
- Attendance and schedule data, including check-in and check-out times, breaks, shifts, holidays, leave requests, rosters, timesheets and weekly hours.
- Work-management data, including tasks, priorities, due dates, status, comments, attachments, dependencies, blockers, approvals and productivity summaries based on saved work records.
- Workspace presence data, including active, idle and offline status, last-seen time, current Workspace section and alerts created from those factual signals.
- Mail data handled through approved @ieta.in accounts, including sender and recipient details, subject lines, message content, attachments, signatures, folder state, shared-inbox assignments and internal notes.
- Document data, including uploaded files, filenames, versions, folders, access permissions, sharing history, security-scan results, retention status and storage usage.
- Security and audit data, including sign-ins, access decisions, account changes, approvals, system events, browser or device information, IP-derived security data, and delivery status for email or Telegram alerts.
- Support and communications data submitted when a team member asks for help or reports a problem.
3. What Workspace does not monitor
Workspace monitoring is limited to factual work signals recorded in the service. Workspace is not designed to record keystrokes, take screenshots, record a screen, activate a camera or microphone, read the clipboard, or monitor activity outside Workspace.
4. How data is obtained
Data may be provided by the team member, an authorised manager or administrator, IETA’s central identity service, approved mail and document services, or generated when authorised people use Workspace.
5. Why the data is used
- Provide and secure staff accounts, role-based access and operational tools.
- Administer attendance, schedules, leave, tasks, approvals, mail and documents.
- Give team members and managers accurate weekly-hours, workload and productivity summaries.
- Send configured operational alerts, including overdue-task, missing-checkout and idle alerts.
- Investigate errors, security events, suspected misuse and access problems.
- Maintain audit records, backups, recovery processes and service continuity.
- Respond to privacy, support and employment-related requests.
- Meet applicable legal, regulatory, contractual and organisational obligations.
Where consent is the applicable basis for an optional use, IETA will provide a clear notice and a way to withdraw consent. Other processing may be necessary for lawful staff administration, security or other permitted organisational purposes.
6. Fair use of work information
Workspace summaries and alerts are operational indicators, not automatic proof of performance or misconduct. Managers should consider approved leave, technical failures, work completed outside Workspace and other relevant context before making decisions that affect a person. Team members may request correction of inaccurate attendance, status or task records and have the request reviewed by an authorised person.
7. Who may access or receive data
Access is role-based. Team members ordinarily see their own information; managers and owners receive broader access only where authorised. Data may also be handled by approved service providers supporting hosting, identity, email, document storage, security, backups, notifications or support. Current services include WordPress-based Workspace hosting, Hostinger email and hosting, and Telegram for configured operational alerts.
IETA requires service providers to protect data and use it only for approved purposes. IETA reviews processing locations and appropriate safeguards where personal data is processed outside India.
8. Retention, recovery and deletion
Workspace data is kept only as long as reasonably required for the purposes described in this policy, IETA’s approved retention schedule, security and audit needs, dispute handling, and applicable law. Different records may have different retention periods. Backup or recovery copies may remain for a limited period after deletion and are then securely removed or overwritten.
The current Workspace Documents configuration retains document records and superseded versions for 365 days and provides a 30-day recovery window for deleted documents. Retention for attendance, mail, audit logs, alerts and backups follows IETA’s applicable operational and legal requirements.
9. Security
IETA uses organisational and technical measures intended to protect Workspace data, including authentication, role-based access, tenant boundaries, signed service requests, audit history, restricted mail and document access, file-security controls and backups. No online system is risk-free. Suspected loss, misuse or unauthorised access should be reported promptly to support@ieta.in.
10. Individual requests and complaints
Subject to applicable law, a person may ask IETA for information about personal data being processed, correction of inaccurate or incomplete data, erasure where data is no longer required or must be deleted, or review of a grievance concerning personal data. A person may also record a permitted nominee for relevant rights.
Send requests to support@ieta.in for the attention of the IETA Privacy and Grievance Team. IETA may verify the requester’s identity, will arrange an authorised human review, and will respond in accordance with applicable law. Where applicable, a person may escalate an unresolved grievance through the process provided by the Data Protection Board of India.
11. Cookies and session storage
Workspace uses cookies or similar local storage needed for sign-in, session security, preferences and core functionality. Any non-essential analytics or marketing technology will be documented separately and, where required, offered with an appropriate choice. Workspace does not use advertising trackers.
12. Changes to this policy
IETA may update this policy when Workspace functionality, service providers or legal requirements change. Material changes will be communicated through Workspace or another appropriate staff channel, and the “Last updated” date will be revised.
